Members

The Members section (Medlemmer) is where you manage everyone in your organisation: their details, their subscriptions, and their lifecycle from joining to withdrawal.

  1. Open Members and choose Add member.
  2. Fill in name and, if you have it, email and phone. Email is optional, but some features (such as the member portal and email campaigns) need it.
  3. Optionally set date of birth, gender, address and a subscription (see below).
  4. Save. The member appears in the Active list.

Members can also register themselves through a public form you embed on your own website. See Public registration.

The Members list has three tabs:

  • Active: current members.
  • Withdrawn (Udmeldte): members who have left but are kept on record.
  • Deleted: members moved to the recycle state before permanent removal.

Use the search box to find a member by name, email or member number. You can also use the command search (the search shortcut) to jump to a member from anywhere.

Open a member and choose Edit to change their details on the edit page:

  • Master data: name, email, phone numbers, date of birth, gender, status and preferred language.
  • Address: street, postcode, city and country.
  • Shop steward (Tillidsrepræsentant): mark a member as a TR; they get a badge and can be filtered in the list.

The edit page warns you before you leave if you have unsaved changes, so you do not lose your work by accident.

CPR is stored encrypted and is never shown by default. To see it, use the reveal action on the member; each reveal is written to an audit log. When you edit a member, the CPR field is always blank and is only written if you type a new value, so saving never overwrites the stored CPR by accident.

A member can hold one or more subscriptions (products). On the member’s edit page, the Subscription card lets you:

  • See the member’s current subscription, with its price and billing cycle.
  • Assign a subscription: pick a plan, an optional start date, and an optional discount with a reason.
  • Remove a subscription.

Billing rules (full price, pro-rata, or free depending on when someone joins a period) are configured per plan under Billing.

For members under 18, attach a guardian (a parent or responsible adult) so dues, communication and consent route to the right person. Guardians are managed as contacts linked to the member.

When a member leaves:

  1. Open the member and choose Withdraw (Udmeld).
  2. Optionally state a reason for the withdrawal.
  3. Confirm. The member moves to the Withdrawn list, and contacts with no other active members are withdrawn too. You can reactivate them later if they return.

You can let people sign up themselves by embedding a registration form on your own website (for example a WordPress site or a microsite). New sign-ups arrive in your Members list ready for you to review.

The Members section can show an age and gender breakdown per year, plus how your membership has changed over time.
