Emails

The Emails section lets you send a written message to many members at once: a newsletter, a reminder, or any club-wide announcement. You compose the email, choose who receives it, preview the recipient list, and send.

The Emails page lists every campaign you have created with its subject, the date, and a status badge:

  • Draft: saved but not sent. You can edit or delete it.
  • Queued / Sending: on its way out.
  • Sent: delivered, with a count of how many went out.
  • Failed: something went wrong during sending.
  1. Choose New campaign.
  2. Enter a subject.
  3. Write the body in the rich text editor. You can format text and add images.
  4. Choose the recipients (see Choose who receives it).
  5. Watch the recipient count update, then preview and send.

In the composer you control the audience:

  • Teams: tick one or more teams to send only to their members. Leave all unticked to reach everyone.
  • Parents only: send to the guardians on record rather than the members themselves (useful for clubs with minors).
  • Include primary members: include the members themselves. Turn this off, and combine with Parents only, to reach guardians alone.

As you adjust these filters, the recipient count and a small sample of recipients update automatically so you can see who will receive the email before you send.

To let a member jump straight into their account from the email, choose Insert magic-link login while editing the body. This drops in a sign-in link that is personalised for each recipient when the email goes out. These links expire after 24 hours.

  • Save draft: keep the campaign to finish later. A subject is required to save.
  • Preview: refresh the recipient count and sample on demand.
  • Send: confirm, and the campaign is queued for delivery. You will see how many recipients it went to.

If you ever need to stop the Organizations app from sending email (for example during a quiet period), there is an app-level email switch under Settings, Registration. While it is off, campaigns and other automatic emails are held back.
